Position Summary
The operations associate aids the operations manager in the daily management of the business. Tasks will vary according to the business operations with a typical focus on executive support, Transactions and Property Operational support of the business.
Corporate Duties

Directly supports Executive and Senior Leadership with general office and operational needs.

Drafts routine correspondence and expedites urgent, confidential, and important correspondence to appropriate personnel as needed on behalf of Executive and Senior Leader.

Completes all expense reporting on behalf of Executive and Senior Leader by managing deadlines set forth by accounting for expense reports to ensure that payments for travel, goods, other services, and employee expenses are timely, compliant, and accurate to reduce financial risk.

Maintains organization and calendaring of CEO and senior leaders board memberships and board notes.

Completes special corporate projects and other duties as assigned.
Transactions Duties

Maintains corporate and transactional entities including annual renewals, monthly questionnaires, monitors additions with each new transaction and responsible for dissolution post-disposition.

Monitors entities for jurisdictional compliance.

Reviews acquisition, disposition, and refinancing submissions to Chatham Debt Management for consistency and accuracy and assigns transaction ID.

Handles annual invoicing and follows up on payments for every property tracked in Chatham.

Requests closing binders for all (acquisitions, dispositions, refinances) transactions.

Assists the Acquisitions and Dispositions teams with completion of lender due diligence forms for guarantor.

Assist with risk management by collecting and providing annual insurance certificates.
Operations Responsibilities

Assists Asset Management by organizing quarterly site audits.

Assist in project management including business operations, investor relations and corporate marketing functions.

Monitors and updates the Firm’s websites

Secondary notary for loan documents and signature.
Preferred Experience / Minimum Qualifications
-
Bachelor's degree in business preferred
-
Minimum 2 - 3 years’ experience in a professional business environment

Exceptional verbal and written communication skills

Strong business acumen with a high attention to detail

Proficient in technology especially Microsoft Office applications

Proactive qualities with the willingness to learn and collaborate with a team

Ability to work well under pressure and with minimal supervision

Must be able to work long hours seated and in front of a computer
